Tasks

Use effective task management strategies to prioritize work, manage workflows and pipelines, track progress of tasks, help teams to visualize work and foster collaboration. This tool which uses Kanban methodology is easy to use, no code and can be automated.

Use this visual task management capability to organize, track and manage your’s & team’s work. You can easily set up Kanban boards with Rapidomize tasks and identify different stages of the task or process you are concerned of. Create task cards which contain essential information about each task of a project, such as a description, assignees, due dates, and any relevant attachments or links.

Boards allow organizing multiple tasks together. Under single project you can have multiple boards to track different activities or phases of the project.

How to create a task

Create a team for your project if required. Refer How to create a team for further details.

  1. Click on Tasks button menu on the left hand side menu, and you will be directed to the default Board list page where your existing kanban boards are displayed.
  2. To create a new board, click on the Create Board button. Type the board title and description. Board titles can be changed by clicking on its Settings icon.
  3. Select the labels that you will be using in this board. Labels can be used to tag task items ..etc. Hover the labels icon to select a label. You can add/create labels by clicking on the Edit label button. These labels can be colour coded as per your preference.
  4. Click Create to save the board. You will be directed to the new board with default task lists. These task list titles can be changed by double clicking on the title or clicking on the Edit icon.
  5. To add a new task list to an existing board, click on the Add new task list button. You can also delete task lists by clicking on the Remove button.

  1. To add a new task to an existing task list/new board, double click on the relevant board. If there are existing tasks, you will see them now. Click on the (+) button or Add new task button in the particular task list.

  2. Type the Task title or summary and click on the Edit icon to add or edit task details.

  3. By clicking on the label icon, you can add a label to categorize the tasks. This category list is editable and any number of new categories can be added by clicking on Edit labels button, followed by (+) button.

  4. Task labels have unique colour codes for easy visualization. You can change the colour codes as per your preference as well. Save your changes after modifications.

  5. Add the task description. You can enter all task details here. Save your description. You can also add any relevant attachments (files) to facilitate your task.

  6. Assign the task to your team member/s by clicking on the assign icon, if required.

  7. If you have not defined your team yet, you can define your project team by clicking on the usersettings icon on the right top menu of your Edit task paneland selecting the Teamsicon teams. Go to Edit teams and create your team. You can view the list of members who are already in your team (if defined previously).

  8. We use Estimated time to track the progress of a task by monitoring the time allocated for the task. You can assign a time target for a particular task and monitor the time spent for the task at any given point. The Assignee/team will be notified on the allocated time automatically. When working on the task, the assignee of the task can start/stop/continue/pause the timer as required. All team members can view the time spent on tasks where time tracking is in progress.

  9. Comments field allows you to add further remarks, instructions or notes that may facilitate the task further.

  10. Once completed, Saveyour task.

  11. If you want to change the task list of a task, simply drag and drop the task to the relevant task list column. You can also click Edit and select the required list from the drop down menu.

  12. The following Kanban board refers to the status of tasks, two weeks after assignment of an installation of a machine in a factory. It further illustrates how team members can manage different types of demands, visualize individual tasks of a project or process and reflects the expertise of each team member and progress level of each task.

Machine installation

  1. Once the task creation is complete (manual), you can define to manage the task automatically. Refer Rapidomize- Getting started for instructions on how to create . Drag and drop Task icon icapp to the work screen and use it as a Trigger to design workflows (). For example, when a new task is assigned, a database can be updated, identified person/s can be notified, calendars can be updated, other project details can be changed and many more actions can be performed automatically through .

  1. You can also use Tasks as an action in a workflow () where you can find, create or delete tasks, get task details and update existing information of a task whenever a defined triggering event occurs.

How to update a task

  1. To update an existing task in a particular Task list, select the relevant project from the left hand side menu and select the relevant board. Click on the tasks from the left hand side menu, and you will be directed to the list of boards coming under the project.
  2. Click Edit Boardor double click on the board to see the lists of tasks.
  3. Edit the existing tasks as required. You can change/add assignees, comments, labels, estimated time.. etc.
  4. You can move the tasks from one Task list to another (change of task status) as well (Ex: From to do list to in progress list). Simply drag and drop the task from one list to another.
  5. Click on Save button and save the changes.
